Contact details
The Contact details page (Settings → Workspace → Contact details) holds the phone numbers and email addresses your control room shares with keyholders, plus the Telegram configuration for event messages.
Contact details
These are the single source of truth the WhatsApp assistant (Clava on the alarm rail, Cleo on the service desk) shares with keyholders — the assistant only ever quotes a number or email that appears here, and never invents one. Leave a field blank to keep it private.
- Control room number -- your 24/7 monitoring line.
- Technical / support number and Technical / support email -- for alarm and CCTV issues. The technical email is the Reply-To on technical emails you send out.
- Billing number (shown in billing emails) and Billing replies go to -- the number printed in a billing email's footer, and the Reply-To on invoices, statements and reminders you email out.
- Support email (catch-all) -- the general address used when a technical or billing email isn't set.
Each field saves when you click away. If a customer asks for a contact the assistant doesn't have on file, it offers to have the team follow up rather than guessing.
Who your emails come from
Every email CleverOps sends on your behalf leaves from one shared, verified address, but the name beside it is yours — that name is what a customer actually reads in their inbox.
- Automated emails — invoice and quote reminders, pre-debit notices, appointment reminders, monthly summaries — arrive as your billing entity's name.
- Emails a person sends from a dialog (an invoice, a quote, a document, an account link) name that person too: "Jaco from Pretoria HQ". A customer replying then knows who they were dealing with.
The name is your billing entity — the same identity the quote, invoice or statement is issued under, so the email and the document agree about who is writing. A send that has a document behind it is signed by that document's entity; everything else uses your default entity. Set it under Billing entities.
Replies go to the Reply-To addresses set above, so a customer replying reaches your team directly rather than the sending address.
The address emails come from is a shared CleverCam-operated one and isn't configurable per control room — sending as your own domain would require verifying that domain's DNS. The From name and Reply-To are what make the email yours.
Everything on this page decides where a reply lands and which number appears in an email footer. The accounts name, address and contact printed on a quote, invoice or statement is a separate, single value, set under Billing entities.
Before July 2026 documents read the billing contact here first and the accounts contact only as a fallback, so editing one field could silently change what a document printed. They are now independent.
Telegram
- Enable/Disable Telegram -- Toggle whether event messages are sent to a Telegram channel.
- Telegram Chat ID -- Enter the Telegram group or channel ID where event messages should be posted.
- Setup guide -- Click the setup guide button for instructions on configuring the Telegram bot.
An amber dot appears on the Contact details entry in the Settings navigation when Telegram is enabled but no chat ID is set — in that state nothing is being delivered.
