Quotes & catalog

The Quotes tab lists the company's sales quotes, and the Catalog tab is a read-only browse of the equipment price book and subscription plans that feed a quote's line items.

Quotes tab​

Filter chips across the top — Open, Drafts, Sent, Accepted, All — narrow the list. Each quote card shows its number and heading, its once-off total on the control room's VAT display axis — with any recurring lines split out and shown separately — a status pill, and its valid-until date. A card whose totals have not loaded yet shows a dash rather than a false R 0.00.

Building a quote​

Tap the Quote button (or + Quote from a lead or customer) to start a new quote:

  1. Pick who it's for — search for and select a customer from a searchable sheet, or quote a lead directly before it has a customer.
  2. Fill in a heading and a reason.
  3. Add lines, from three sources:
    • Catalog — equipment from the price book. The catalog's VAT-inclusive price is converted to the stored ex-VAT line price automatically; what you see is still on your control room's axis.
    • Plan — a recurring billing plan; the line carries the plan and its billing cycle.
    • Custom — a free-form line.
  4. Tap any line to edit its quantity, unit price, and line discount %. The price field is labelled for the axis you are on — Unit price (incl. VAT) on a VAT-inclusive control room (the default), Unit price (excl. VAT) on an exclusive one, and plain Unit price when no VAT is charged — so you type the figure the label asks for.
  5. Set a quote-level discount % — the subtotal, discount and total are shown on the same axis, and a separate VAT row appears only on the exclusive one (on the inclusive axis the VAT is already inside the figures). The rate is the quote's billing entity's, falling back to the control room's; see the company's VAT settings.
  6. Set Valid until and Follow-up dates.
  7. Under ONBOARDING, decide whether winning this quote opens an onboarding journey. Start onboarding when this quote is won is off on a new quote and nothing is pre-filled — whether a won deal is a takeover, a new install or an add-on is a judgement about the deal, not something the record can derive. Switch it on and pick what kind of work and which segment; leave it off for add-ons, repairs and re-links. Saving a quote that is switched on but unnamed is refused: "Pick what kind of work and which segment under ONBOARDING, or switch 'Start onboarding when this quote is won' off." This is the same control as the one in CleverOps, on the same quote.

The quote saves as a draft.

Draft rule (lock-on-send)​

Same rule as CleverOps: only a draft quote can be edited freely. Once a quote has been sent, further changes need New revision from the overflow menu, which supersedes the old quote rather than editing it in place.

Quote detail actions​

Opening a quote shows its total and status, an action bar, and — for a draft quote only — an Edit (pencil) icon in the top bar. A note under the action bar makes the send behaviour explicit: "Emails and links go out from your company — not from your own phone or mailbox."

The action bar itself:

  • Email — opens a picker of addresses already on file (the customer's billing email and any contacts tagged for quote emails) plus a field to type another address. Sends the quote PDF from the company's own mail sender and flips the quote from draft to sent; anyone tagged for quote emails is copied in automatically.
  • Text link — opens a recipient and channel picker like the one in Contacting a prospect (WhatsApp and/or SMS only) and texts the public quote link, which the customer opens to accept or decline.
  • Accept — records an in-person acceptance, capturing the customer's name. If the quote sells a recurring plan, you're then asked whether to Start subscriptions for the customer from today.
Approval before sending

If your control room has Require approval before sending switched on, a draft quote must be approved before Email or Text link will send it. Trying anyway shows: "This quote has to be approved internally before it can go to the customer. Ask a manager to approve it in CleverOps, then send again." Approving is done in CleverOps by someone with the Approve quotes for sending permission.

The overflow menu (⋮) carries the rest:

  • New revision — once a quote has been sent, this is how you make further changes (see the lock-on-send rule above).
  • Withdraw — available on a draft or sent quote.
  • Set follow-up reminder.
  • Start subscriptions — also reachable here later, if you skipped it at acceptance and the quote sells a recurring plan.

The Details card below the action bar carries the customer, any linked lead, the reason for the quote, the rep, and — once there is one — an Open latest PDF row.

Catalog tab​

The Catalog tab is a read-only browse — items and plans are managed in CleverOps, not from the app:

  • Equipment catalog — search and category chips, the price book's VAT-inclusive price, and stock counts with a low-stock highlight.
  • Plans — the subscription plans list, showing price, billing cycle, and whether each plan is flat or per-unit.
