Email Report
From an event's detail page you can email a single-incident PDF report straight to the customer. The report is the same incident document the control room already produces — the triggering event, its image stack, the actions operators took, the photo galleries, and the surrounding 48 hours of activity at the site — delivered as a PDF attachment.
This is useful for closing the loop with a client after an incident: send them a tidy, branded record of exactly what happened and what was done, without leaving the event.
Sending a report
- Open the event in Event Details.
- Under the site notes panel, next to View site history and View snapshot wall, click Email report.
- The Email report dialog opens with a list of suggested recipients for this site only — never users or contacts from the customer's other sites:
- Site users — the CleverAlert app users connected to this site.
- Site contacts — keyholders and contacts captured for this site.
- Customer billing — the account's billing email address.
- Tick the recipients you want. You can also type any custom email address and click Add to include someone who isn't listed.
- Optionally add a short message — it appears in the body of the email above the attachment.
- Click Send. The report is generated, attached, and emailed to everyone you selected.
The Email report button is available to any operator working the event. Recipient suggestions and the report itself are scoped to the event's site, so you only ever see contacts for that account.
What the customer receives
The email arrives from the monitoring company's branding, with the incident PDF attached and named for the event. The body shows the site name and the time of the event, your optional message, and — when available — a link to an online copy of the same PDF.
The PDF lists only the timeline entries the customer is allowed to see in their own CleverAlert timeline. Internal entries — operator notes, call records, and responder reports or photos your control room does not share with customers — are left out. Responder photos you do share (CleverOps → Settings → Customer experience → Show responder reports to customers) appear in the report's Appendix 2: Action Photo Gallery, numbered against their Responder photo entries.
Timeline record
Every successful send is recorded on the event timeline as “Report emailed”, listing the addresses it went to. This gives the whole control room an at-a-glance audit of when an incident report was sent and to whom.
Next to the Email report button you'll also see a small delivery indicator once a report has been sent — Sent, Delivered, or ✉ Read HH:MM once the customer opens it (hover for the full timeline). Read detection relies on email open-tracking being enabled for your monitoring company's sending domain.
Report emails are sent through the same email setup as the rest of CleverCam's outbound mail, so they follow your existing sender domain configuration. If reports aren't arriving, confirm the monitoring company's email sender is configured.
