Issuing Responder App Codes

Field responders sign in to the CleverResponder mobile app with a short, one-time code that the control room hands them. The Responder app codes section on the Team page lets a Supervisor mint that code for any responder on the roster and read it out over the phone or radio — no need to switch to CleverOps.

Supervisor-only

Responder app codes live on the Team tab of the More page, a Supervisors-only surface. Controllers and Viewers cannot see it. A Controller with the Issue responder app codes capability issues the same codes from Units → Responders or a crew card on the Manage board instead.

Where it is​

Open More from the sidebar, then the Team tab. Below the Operators roster you will find a second section, Responder app codes, listing every reaction-unit responder in your control room.

Each row shows:

Use the search box to filter the list by name or ID when your roster is long.

Issue a code​

  1. Find the responder in the Responder app codes list (search by name if needed).
  2. Click Get code. A 4-digit code appears in bold next to the button.
  3. Read the code out to the responder, or click the copy icon to copy it to your clipboard.
  4. The code is valid for 15 minutes — the countdown next to it shows the time remaining.

If the responder needs another code (the old one expired, or they didn't catch it), click New code to mint a fresh one. Generating a new code replaces the previous unused code.

What the responder does​

On their phone, the responder opens CleverResponder and, on the "Enter code from control room" screen, types the 4-digit code. That signs them straight in — no email or password. The first time a responder signs in this way, their app account is created automatically and linked to their record.

Staff who hold a real CleverOps account have two other doors on the same screen, neither of which needs a code from you:

  • Sign in with email and password — their own CleverOps login.
  • Signed in on this phone — if that account is already signed in to CleverTech, CleverSales or CleverAlert on the same phone, a card above the form offers it with a Continue button. One tap signs them in as that account, without a password. Both doors admit exactly the same people the code does: the account still needs a responder record with CleverResponder access, or it is signed straight back out with a "no access here" message.

A code-based sign-in never appears as an offer in the other apps — the code signs into a responder-only account, not the person's CleverOps login.

Notes and limits​

  • The code is one-time and time-boxed. It works for a single sign-in and expires after 15 minutes. Once used, it cannot be reused.
  • This section issues codes only — it does not manage the roster. You cannot add, rename, remove, or set permissions for responders from CleverCommand. Those are managed in CleverOps → Response → Responders. If a responder is missing from the list, add them in CleverOps first.
  • Rotating a code ends stale access. Because each code mints a fresh one-time session, issuing a new code is the way to get a responder back in if their previous session was lost.
