Academy

CleverCam Academy (academy.clevercam.co.za) is training for your own staff on CleverOps, CleverCommand and CleverTech. Each module is a few short pages, a practice run and a final check, and most end in a hands-on exercise the person does in their own private training room — nothing they do there touches your real customers or sites, and a training room is never billed. Passing a module earns a certificate.

People → Academy is where you enrol people and keep track of them. Pick who, pick a track for their role (or single modules) and a date it must be done by. Each person is emailed the link, the steps and the date, and reminded before it falls due. The tab shows everyone's progress, who is late, and the certificates they hold.

Where it appears

The Academy tab appears on People — and on each person's workspace — only when CleverCam has switched the CleverCam Academy module on for your control room, and only for people with the Manage team permission. Contact CleverCam support to have it switched on.

Who can be enrolled​

The Academy is signed in to with an email address and a password — the same ones the person uses for CleverOps. So only people who sign in with an email login can be enrolled.

Somebody who signs in with a login code (CleverCommand, CleverResponder) or not at all shows on the tab as No email login, and cannot be ticked in the enrol dialog. Give them an email login from People first, then enrol them.

Enrol people​

  1. Open People and the Academy tab.
  2. Click Enrol people.
  3. Under Who, tick the people. Search narrows the list by name or group, and Select all … shown ticks everyone the search left. People already enrolled in something say so.
  4. Under What, choose:
    • A track — the modules for one role, up to a level. There is one track per staff role, and each climbs the same four levels: 1 Foundation (can shadow somebody), 2 Practitioner (can be rostered on it), 3 Specialist (the one others ask), 4 Lead (owns the function). The track that matches the ticked people's roles is marked recommended. Each level shows how many modules it adds and roughly how long they take.
    • Single modules — tick any of the 33 modules.
  5. Under Finish by, pick the date. It defaults to 30 days from today, and must be at least tomorrow and within a year. It falls due at 23:59 on that day in your control room's time zone.
  6. Check the summary line and click Enrol.

A module somebody has already passed counts as done — they are not asked to repeat it. Enrolling somebody again in the same modules moves those modules onto the new enrolment and its date; the old enrolment, left with nothing in it, closes by itself.

What people are sent​

Emails come from CleverCam Academy, and a reply goes to whoever enrolled them — so "I need another week" reaches the person who can give it.

Reminders stop the moment everything in the enrolment is passed. The dated reminders go out on weekdays between 08:00 and 17:00 in your control room's time zone; the enrolment email and a reminder you asked for go straight away.

Reading the tab​

Four tiles sit across the top:

  • Enrolled — people with an enrolment, out of everyone with an email login.
  • Overdue — past their date and not finished.
  • Not started — enrolled, nothing opened yet.
  • Certificates — modules passed across everyone, and how many need re-certifying.

The list has one row per person, and the filters above it cut it to Everyone, Enrolled, Overdue, Not started or Not enrolled. Each row shows:

Re-certify means the person passed a module that has since changed, because the part of the product it teaches moved. Their certificate still stands for what it covered; enrol them in the module again to bring it up to date.

Export CSV downloads the rows on screen.

One person's record​

Click a row to open that person's record under it — the same record the Academy tab on their own workspace shows. For each enrolment:

  • what it is, its standing, how many modules are passed, roughly how long is left, and the date;
  • who enrolled them and when;
  • the emails: when the enrolment email went, the last reminder, and — in amber — a send that failed. After three failed sends in a row the emails stop, and the record says so; fix the address and press Send reminder to try again.

With Manage team you can:

  • Send reminder — emails them now. Available once the enrolment email has gone, and at most once a day.
  • Change due date — a new date restarts the reminders from it.
  • Cancel enrolment (in the danger zone) — withdraws the modules they have not passed and stops the reminders. Certificates already earned stay theirs. It cannot be undone; enrol them again to restart.

Below that is every module the person was given or holds a certificate for, with its standing, lessons done and — for a passed module — its certificate number, which opens the Academy's verify page. Verifying needs a sign-in with a CleverOps login.

Enrol … in more (and Enrol in the Academy on their workspace) opens the enrol dialog with just that person ticked.
